Inventory

The Inventory screen is where you control stock levels for the products in your catalog. It lets you decide which items should be tracked, how many units are available, and whether a product is currently active for sale.

You can access it from the left-hand menu under Catalog → Inventory.

The table shows each product with its category, price, cost, tracking status, stock count, discount price and status. A search bar at the top helps staff quickly find a specific item.

Turning on stock tracking for a product

If a product is listed as not tracked, OtterOrder will not count units or reduce stock when orders are placed. To start tracking it:

1. Open Catalog → Inventory.
2. Find the product using the search bar or by scanning the list.
3. Switch Track inventory to On for that product.
4. Enter the current quantity in the Stock field.
5. Save the change.

From that point, OtterOrder uses that number as the starting stock and will reduce it as orders are completed.

Updating stock levels

When you receive new stock or need to correct a count:

1. Go to Catalog → Inventory.
2. Locate the product you want to update.
3. Make sure Track inventory is enabled.
4. Adjust the Stock value to the correct quantity.
5. Save.

The new value becomes the live stock level for that product.

Changing product availability

Inventory also shows whether a product is Active or inactive.

• Use the Status toggle to switch a product off when it should no longer be available for sale.
• When you turn a product off, a confirmation dialog appears so you can confirm before the status is updated.

This is useful when you want to temporarily remove an item from sale without deleting it from your catalog.

Viewing inventory from the product page

Every product has its own detail page under Catalog → Products.

When you open a product, the Pricing and Inventory section shows:

• Whether inventory is tracked
• The current inventory count
• The SKU and pricing fields

Changes saved here are reflected in the Inventory screen and vice-versa, so staff can work from whichever view is most convenient.
